BeEasy Contracting LLC ("BeEasy," "we," "us," or "our") operates the BeEasy OS platform, including the web application at beeasyos.com and any mobile or desktop applications that access the same system (collectively, the "Service"). This Privacy Policy explains how we collect, use, store, and protect information when you use the Service.
By using the Service, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
1.1 Information you provide
- Account information: name, email address, phone number, role, region, and authentication credentials.
- Business information: company name, tax ID/EIN (for subcontractors), insurance details, W-9 information, government identification submitted for verification.
- Project information: client names, addresses, phone numbers, project scopes, pricing, photos, notes, and related records you enter into the Service.
- Communications: messages sent via internal messaging, support tickets, and conversations with the KOVA AI assistant.
- Payment information: processed via PayPal; BeEasy does not store full card numbers or bank account details.
1.2 Information collected automatically
- Device and usage data: IP address, device type, operating system, browser type, app version, time zone, and log information.
- Session data: activity within the Service, including tabs viewed, features used, and actions performed, to support the Service and detect abuse.
- Location data: approximate location based on IP address. Precise location is only accessed with your explicit permission (for example, when using field survey features or job-site check-in).
1.3 Information from third parties
- Lead data from integrated sources you authorize, such as Google LSA or similar services.
- Payment confirmations from PayPal when clients or subcontractors complete transactions.
2. How We Use Your Information
- Provide, operate, and maintain the Service.
- Authenticate users and enforce role-based access.
- Route leads, dispatch subcontractors, generate quotes and invoices, and coordinate project workflows.
- Process payments and track payouts.
- Communicate with you about your account, product updates, and support requests.
- Improve the Service, including training operational models on aggregated or anonymized usage data.
- Detect, prevent, and address fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our Terms of Service.
3. AI Processing (KOVA Assistant)
The Service includes an AI assistant called KOVA. When you interact with KOVA, the content of your request (including project context you or the Service provide) is sent to our AI provider, Anthropic PBC, for processing. Anthropic processes this content under its own privacy commitments and does not train its public models on your inputs. KOVA does not have persistent access to your account outside of the features you explicitly invoke.
4. How We Share Information
We do not sell personal information. We share information only in the following circumstances:
- Within your organization: with other team members of your BeEasy OS workspace, consistent with role-based permissions (for example, sales managers see data for their region's reps; subcontractors see only their assigned jobs).
- Service providers: hosting (Hostinger), database and authentication (Supabase), payments (PayPal), AI processing (Anthropic), and transactional email, each under written agreements limiting their use of your information to providing the service.
- Legal compliance: when required by law, court order, or lawful request from a government authority, or to protect the rights, property, or safety of BeEasy, our users, or others.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to confidentiality obligations.
5. Data Security
- All traffic between your device and the Service is encrypted in transit (TLS).
- Database access is protected by row-level security policies that enforce role-based data visibility.
- Internal messages include a tamper-evident hash chain and immutable audit log.
- We use session timeouts, rate limiting, and behavior-based anomaly detection to protect accounts.
No system is perfectly secure. If we become aware of a breach affecting your information, we will notify you as required by applicable law.
6. Data Retention
We retain account, project, and transaction data for as long as your account is active or as needed to provide the Service. When an account is fully deleted, the system removes associated records from our operational databases within 30 days, subject to limited retention required for legal, accounting, or fraud-prevention purposes.
7. Your Rights
Depending on your jurisdiction, you may have rights to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Request deletion of your account and associated data.
- Export your data in a portable format.
- Opt out of marketing communications.
- For California residents: rights under the CCPA/CPRA, including the right not to be discriminated against for exercising these rights.
- For EEA/UK residents: rights under the GDPR/UK GDPR, including the right to restrict or object to processing and to lodge a complaint with a supervisory authority.

8. Children
The Service is not directed to children under 18. We do not knowingly collect information from anyone under 18. If you believe a child has provided us information, please contact us and we will delete it.
9. International Users
BeEasy is based in the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S., where data protection laws may differ from those in your country.
10. Mobile App Specifics
The BeEasy OS mobile app requests the following permissions only when needed:
- Camera: to capture job-site photos, ID verification, and field surveys.
- Location: to log field activity and dispatch crews (precise location only when explicitly enabled).
- Notifications: to alert you to new leads, messages, and schedule changes.
- Storage: to save photos and documents you capture or upload.
You can revoke any of these permissions in your device settings at any time without losing access to the rest of the Service.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notice at least 7 days before taking effect. The "Last updated" date at the top reflects the most recent version.
